The information we receive depends on how you interact with Ottaway Landing.

Inquiries

If you use the Come to Ottaway / What Brings You Here? inquiry form, you may provide your name, email address, optional phone number, the nature of your inquiry, and anything you choose to include in your message.

Inquiry submissions are sent by email to the Ottaway Landing team. They are not separately stored in the website database.

Residency Applications

If you apply for an Ottaway Landing residency, we may collect information including your name, email address, optional phone number, location, residency-week preference, written application responses, and information you choose to provide about accessibility, dietary needs, allergies, childcare, travel considerations, or other practical needs that may help us understand your application or host you well.

Residency applications are stored in a private database accessible only to authorized staff and are also sent to the Ottaway Landing team by email.

While you are completing an application, a draft may be saved locally in your own browser so that your work is not lost. Draft information is not transmitted to us until you submit your application and is cleared from local browser storage following successful submission.

Reservations

When you request or make a lodging reservation, we may collect information such as your name, email address, phone number, requested stay dates, number of guests, messages you choose to provide, reservation pricing, and reservation and payment status.

We do not maintain separate public guest profiles or visitor accounts.

Ottaway Landing may use Stripe to process online payments.

When online payments are enabled, payment information is entered through Stripe’s hosted checkout experience and is processed by Stripe under its own privacy and security practices.

Ottaway Landing does not receive or store your full credit or debit card number. We may retain information associated with the transaction, such as the amount, currency, payment status, and payment-provider reference needed to identify the transaction.

We use personal information as reasonably necessary to:

• respond to inquiries and communicate with you;
• review and administer residency applications;
• arrange and manage stays and reservations;
• provide confirmations and other transactional communications;
• process and document payments;
• understand accessibility, dietary, allergy, or other hosting considerations you choose to share with us;
• maintain appropriate business, accounting, tax, and reservation records;
• prevent or address fraud, misuse, disputes, or security concerns;
• operate and maintain the website and its private administrative systems; and
• comply with applicable legal obligations.

Submitting an inquiry, residency application, or reservation does not subscribe you to a marketing email list.

We currently use email addresses for communications related to the reason you contacted us or your relationship with Ottaway Landing. We do not currently operate an automated promotional mailing list through this website.

We use service providers where reasonably necessary to operate Ottaway Landing and this website.

These may include services supporting website hosting, databases, authentication, transactional email, reservations, calendar synchronization, and payment processing.

These providers may process information as necessary to provide their services to us and may also operate under their own privacy policies and legal obligations.

When Stripe payment processing is enabled, Stripe processes payment and transaction information through its own systems.

Our calendar synchronization may exchange reservation dates with external booking calendars for availability purposes. Guest names, contact details, and other guest information are not included in those calendar feeds.

Ottaway Landing currently does not use behavioral analytics services, advertising pixels, behavioral advertising trackers, or marketing cookies on the public website.

We do not currently use tools such as Google Analytics or Meta Pixel to track visitors across the website for advertising or marketing purposes.

The website uses limited browser storage where necessary for specific functionality. For example, an in-progress residency application may be stored temporarily in your own browser so that your answers are not lost.

Private staff areas also use browser storage necessary for authentication and administrative interface preferences. These tools are not used for advertising or behavioral tracking.

If our use of analytics, cookies, or tracking technologies changes materially in the future, we will update this Privacy Policy and implement additional notice or consent mechanisms where appropriate.

We keep personal information only for as long as reasonably necessary for the purposes for which it was collected and for legitimate business, legal, accounting, tax, fraud-prevention, and dispute-resolution needs.

Our current retention practices include:

Residency applications that do not result in participation are ordinarily retained for up to 12 months after the applicable residency has concluded, unless there is a legitimate reason to retain the information longer.

Reservation and transaction-related business records may ordinarily be retained for up to seven years after the applicable stay or transaction where reasonably necessary for accounting, tax, legal, dispute-resolution, or business-record purposes.

General inquiries are not separately stored in the website database. Correspondence sent by email is handled according to our ordinary email-management practices.

Some information may be retained longer when reasonably necessary to comply with law, establish or defend legal claims, prevent fraud, resolve disputes, or satisfy legitimate recordkeeping obligations.

You may contact us to ask about personal information you have submitted to Ottaway Landing or to request that we correct or delete it.

We will honor reasonable requests where practicable and appropriate. In some circumstances, we may need to retain certain information for legal, tax, accounting, fraud-prevention, dispute-resolution, or other legitimate business purposes.

Residency applicants may use this same email address to request correction or deletion of a submitted application.

Our website and forms are not designed to collect personal information directly from children.

A residency applicant may choose to tell us about childcare or family considerations as part of her own application, but the application does not intentionally request children’s names, ages, or other identifying information.

If you believe personal information about a child has been submitted to us unintentionally, please contact us at home@ottawaylanding.com.

We use administrative and technical measures appropriate to the nature of the information and the systems through which it is handled.

No method of transmitting or storing information electronically can be guaranteed to be completely secure. We therefore cannot promise absolute security.

Please do not send highly sensitive financial information, full payment-card information, Social Security numbers, passwords, or similar information to us through ordinary email or open message fields.

Our website may link to services or websites operated by others, including Instagram and, where applicable, payment or booking services.

Their privacy practices are governed by their own policies, not this Privacy Policy.

Ottaway Landing may update this Privacy Policy as our website, services, technology, or legal obligations change.

When we make material changes, we will update the effective date shown at the top of this page and provide additional notice when appropriate.
